Copy-ready templates for replying to positive, neutral and negative Google reviews, plus the rules on review requests, fake reviews and when to flag a review.

Every review on your Google Business Profile is a public conversation. The customer who wrote it reads your reply — but so does every future customer comparing you with the shop next door.

Replying well is one of the easiest ways to build trust. This guide gives you a simple process and templates you can adapt in under a minute.

Why replies matter

  • Customers notice. A business that replies thoughtfully looks attentive and professional.
  • Unhappy customers can come back. A fair reply, followed by a real fix, often turns a one-star experience around.
  • Google encourages it. Google's own guidance recommends responding to reviews to build trust with customers.

The golden rules

  1. Reply to every review, positive and negative, ideally within two or three days.
  2. Be specific. Mention what they mentioned. Copy-pasted "Thanks for your review!" replies look automated.
  3. Stay calm and polite, even when the review feels unfair. You are writing for future customers.
  4. Never share private details — no booking numbers, health information or personal data in a public reply.
  5. Move complaints offline. Offer a phone number or email to resolve the issue.
  6. Keep it short. Two to four sentences is usually enough.

Templates for positive reviews

Simple thank you

Thank you so much, Priya! We're glad the cleaning was quick and painless. See you at your next check-up.

Mentioning a team member

Thanks for the kind words, Rahul. I'll share this with Anil — he'll be delighted to hear the installation went smoothly.

Inviting them back

Thank you for celebrating your birthday with us! We're happy you enjoyed the paneer tikka. Hope to welcome your family again soon.

Templates for neutral reviews

Thank you for the honest feedback, Meera. We're glad you liked the haircut, and we hear you on the waiting time — we're adding an appointment option this month so it doesn't happen again.

Templates for negative reviews

When you made a mistake

We're sorry, Arjun — that's not the experience we want anyone to have. You're right that the delivery was late. Please call us on [phone] so we can make it right.

When the details are unclear

Thank you for letting us know. We take this seriously but couldn't find your visit in our records. Could you email us at [email] with a few details so we can look into it properly?

When the review is rude but has a real point

We understand your frustration about the billing confusion and we apologise. We've since updated how we explain charges before treatment. We'd welcome the chance to discuss it — please reach us at [phone].

What not to do: argue, blame the customer, reveal their details, or offer a discount in exchange for removing the review.

What about fake or abusive reviews?

You can flag a review that breaks Google's policies — for example spam, off-topic content, conflicts of interest, hate speech or reviews about a different business. Use the "Report review" option from your profile. Google decides whether it is removed. A review simply being negative is not a policy violation.

While a flagged review is being considered, it is still worth posting a short, calm reply so readers see your side.

How to get more reviews (the right way)

  • Ask at the right moment — right after a successful job, a happy meal or a solved problem.
  • Make it easy. Share your direct review link on WhatsApp or SMS, or display a QR code at the counter.
  • Ask everyone. Google does not allow "review gating" — asking only customers you expect to be happy.
  • Never offer rewards (discounts, gifts, free services) for reviews, and never buy them. Google removes them and can restrict your profile.
  • Don't post reviews for your own business or ask staff to.

Saving time without sounding robotic

Writing replies takes time when you get many reviews. Locvanta drafts a personalised reply for each new review, based on what the customer actually wrote. You review and approve every reply before it is posted — the business owner stays in control of what is said in their name.
